Simple bookkeeping for service businesses that still need real books
Agencies, trades, and studios need a feed, an inbox, invoices, and honest reports. They do not need to become part-time bookkeepers or claim QuickBooks parity.

Simple bookkeeping for service businesses is not “fewer buttons.” It is a shorter daily job: money lands, obvious lines post, leftovers wait, invoices go out, reports stay honest. Agencies, consultants, trades, and small studios feel this every Tuesday. They do not want to become bookkeepers. They also cannot live in a $700/month black box.
ficary’s owner product is built for that job. How it works is the four-step version. This page is the buying version: what you need, what you can skip, and what we will not pretend to ship.
What you need in the first 30 days
- One feed of activity (bank, typed expenses, or CSV).
- An exception inbox, not a wall of accounts.
- Invoices and a way to record that they were paid.
- P&L and a balance sheet that read the same posted rows.
- A path to hand the books to an accountant.
What you can skip at the start
- Warehouse inventory, unless you actually stock product.
- Payroll as the first project. Pay people how you pay them now; add it when the books are current.
- Every QuickBooks integration. ficary is not claiming feature parity. The pricing page says that in public.
A week that fits a fifth-grade label
Monday: scan Inbox. Tuesday: confirm two leftovers and send one invoice. Friday: open P&L. If a leftover is still there, it stays visible. That is the product standard on the homepage: you only see the money that still needs you.
When Free stops being enough
Bills, vendors, jobs, and purchase orders sit on Pro. Start free anyway. Upgrade when payables are the next job, not because a sales page said “teams.” If you run a firm and need practice software, start at the practice management overview instead. That is a different buyer.
Start free. Enter activity by hand if the bank is not ready. The inbox still has work.
Questions firms actually ask
What bookkeeping does a service business actually need?
A single activity feed, categories you understand, invoices you can send, bills when payables show up, and reports that match the posted books.
Is simple bookkeeping software the same as a QuickBooks alternative?
No. “Alternative” often means feature parity. ficary is not claiming that. It is claiming a leftover inbox on a real ledger for owners who will not live in the chart of accounts.
Can I start without a bank connection?
Yes. Type expenses or import CSV until a live bank feed is available. The inbox still works on activity you enter by hand.
When do I need more than Free?
When bills, vendors, jobs, or purchase orders become the week’s work. That is Pro. See pricing before you guess.

Most bookkeeping UIs make you hunt the chart of accounts. An exception inbox holds leftovers so the month can close without a scavenger hunt.

How to hand books to your accountant without a rebuild
Accountants waste March rebuilding January. A clean handoff is a leftover list, exportable books, and a seat on the same ledger, not a zip of PDFs.

The close fails in the leftovers: uncoded charges, missing receipts, and client questions stuck in email. Here is a close that stays inspectable.
