Exception-inbox bookkeeping: only see the money that still needs you
Most bookkeeping UIs make you hunt the chart of accounts. An exception inbox holds leftovers so the month can close without a scavenger hunt.

Exception-inbox bookkeeping is a simple rule: the software posts the obvious activity, and a person only sees what still needs a human. If you have ever opened a bank feed of 400 lines to find the three you do not recognize, you already know the other model. It wastes the week.
The scramble is leftovers, not “debits and credits.” That is the same problem. The fix is to make leftovers a first-class queue. ficary’s live product is built around that queue. How it works is four moves. This page is why the third move (Inbox) exists.
What should post without you
- A merchant you already confirmed, turned into a rule.
- A receipt that matches amount and date.
- A transfer between two accounts you already mapped.
Each of those writes to the ledger with a reason. If you cannot open a posted line and see why it posted, you do not have an exception system. You have a black box.
What belongs in the inbox
- Unknown ACH or a new merchant.
- A charge that needs a receipt you do not have.
- A category the model is not sure about.
- A feed that stopped pulling.
How this closes a month
A close is four counts: posted, waiting on client, waiting on firm, blocked. If Inbox is empty and feeds are healthy, the month can lock. If Inbox has five lines, those five are the close. That is the checklist in month-end close for accounting firms.
How to start this week
- Put all bank activity in one feed, even if you type it by hand.
- Confirm the easy merchants once. Make them rules.
- Leave mystery charges in a named queue. Do not hide them in “ask my accountant.”
- Send the owner five leftovers, not a spreadsheet of forty.
ficary does this on Free: Home, Inbox, invoices, and reports that read the posted books. Start free if you want the inbox on your own activity. Pricing if you need bills and vendors later.
Questions firms actually ask
What is an exception inbox in bookkeeping?
It is a queue of transactions the system cannot finish: odd merchants, missing receipts, and low-confidence categories. Everything else posts. You work the queue, not the whole bank feed.
How is that different from uncategorized expenses in QuickBooks?
Uncategorized is a dump at the end of the month. An exception inbox is the daily job: each leftover has a reason, and posted lines stay out of your way.
Does exception-based bookkeeping skip the ledger?
No. High-confidence lines still hit a real ledger with a reason you can open. The inbox is the UI. The books are still double-entry.
When should a leftover stay open?
When only the owner knows the answer (personal vs client gift) or a feed is broken. A leftover that sits for two months is a close problem, not a UI preference.
