How to hand books to your accountant without a rebuild
Accountants waste March rebuilding January. A clean handoff is a leftover list, exportable books, and a seat on the same ledger, not a zip of PDFs.

Handing books to your accountant should not mean they rebuild the month. If they open your file and the first job is “what is this Amazon charge,” you did not hand off books. You handed off a puzzle.
The AICPA has spent years telling firms that CAS only works when the records are current. Current means leftovers are named. It does not mean a pretty PDF.
The handoff package
- Posted activity they can follow to a report.
- An exception inbox: what is still open and why.
- Receipts matched or requested, not lost in text messages.
- Export or a seat, so they do not re-type the year.
That package is what Client Accounting Services is supposed to buy. If you are the owner, you can produce a smaller version of it every month.
Why a seat beats a zip file
A zip file is a copy. Copies drift. A seat is the same ledger. ficary’s accountant invite is built for that: they review the books you already posted. They do not get a second set of “truth.” Read exception-inbox bookkeeping if the inbox is still a wall of uncategorized lines.
The owner’s job before you invite anyone
- Clear or name every leftover. “I don’t know” is a valid leftover. Silence is not.
- Do not dump personal charges into “miscellaneous.”
- Send the invite after Inbox is honest, not after you panic in March.
Start on Free. Invite the accountant when the leftover list is short enough that they will not bill you to reconstruct it. Contact if you want a walkthrough of the seat before you roll it out.
Questions firms actually ask
What should I send my CPA at month end?
A leftover list, P&L and balance sheet from the same ledger, and access to the source activity. A folder of PDFs without the transactions is how March becomes a rebuild.
Is an accountant seat the same as sending a backup file?
No. A seat means they see the same posted books and leftovers you see. A backup file is a snapshot they re-key or repair in their own copy.
Can my accountant edit everything?
They should see the books and clear review items. Destructive account actions stay with you. ficary separates accountant workspace access from owner controls.
What if I still use a separate CPA tool?
Fine. Export CSV when they need a file. The handoff still fails if your leftovers live only in email.

Simple bookkeeping for service businesses that still need real books
Agencies, trades, and studios need a feed, an inbox, invoices, and honest reports. They do not need to become part-time bookkeepers or claim QuickBooks parity.
